Managing Jobs in the Field¶
Jobs are where the day-to-day field work happens. Once a bid is approved and a job is auto-created, the PM, Supervisor, and Badge Workers work together through the job lifecycle — from Ready to Start to Completed / Needs Invoice.
Job Status Lifecycle¶
[Ready to Start]
│
▼
[In Progress] ←──── PM advances when work begins
│
▼
[Completed / Needs Invoice] ←──── PM marks complete; triggers invoicing
Owner can cancel a job at any active status
From Ready to Start or In Progress, an Owner can cancel the job entirely. Cancellation notifies the PM and Supervisor via SMS.
Who Sees What¶
Access to jobs is role-scoped. Supervisors and Badge Workers never see bid details — only the job information they need to do their work.
| Role | What They See |
|---|---|
| Owner | All jobs across all clients |
| Accounting | All jobs (view only, for invoicing context) |
| Project Manager | All jobs they are assigned to + jobs under their Supervisors |
| Supervisor | Only jobs they are directly assigned to |
| Badge Worker | Only jobs they are individually assigned to |
Bid details are not visible to Supervisors or Badge Workers
Supervisors and Badge Workers see job scope and instructions as surfaced on the job record. They do not have access to the originating bid, pricing, or client PO information.
Advancing Job Status¶
The PM is responsible for advancing job status through the lifecycle.
Ready to Start → In Progress
- Open the job from Jobs in the main navigation.
- Confirm the team is assigned and ready.
- Click Start Job or change status to In Progress.
- The job status updates immediately.
In Progress → Completed / Needs Invoice
- Open the job.
- Confirm all field work is complete and updates are logged.
- Click Mark Complete or change status to Completed / Needs Invoice.
- The system flags the job for invoicing. Owner and Accounting users will see it in the invoicing queue.
Owners have full status control, including the ability to cancel.
- Advance status the same way as a PM.
- To cancel: open the job, click Cancel Job, and confirm. The PM and Supervisor are notified via SMS.
Posting Updates and Photos¶
All three field roles can post updates (notes) to a job. Updates are the primary communication mechanism between field and office.
- Open the job detail.
- Scroll to the Updates section.
- Enter your note in the text field.
- Attach photos if applicable.
- Click Post Update.
Updates are immutable
Once posted, an update cannot be edited or deleted. This is by design — the update log is a permanent record of job activity.
- Open the assigned job from your job list.
- Scroll to Updates.
- Enter a note (daily progress, delays, issues, etc.).
- Attach one or more photos as needed.
- Click Post Update.
Supervisors see only their assigned jobs
The jobs list for a Supervisor only shows jobs they are directly assigned to. They cannot browse other jobs.
- Open your assigned job from the job list.
- Navigate to Updates.
- Enter a brief note or status.
- Attach photos if needed.
- Click Post Update.
Badge Workers see only their assigned jobs
The jobs list for a Badge Worker only shows jobs they have been individually assigned to by the PM.
The Blocked Flag¶
The blocked flag signals that field work cannot proceed due to an external dependency (waiting on materials, access, weather, permits, inspection, etc.).
Available to: Project Manager, Owner
Setting the blocked flag:
- Open the job detail.
- Toggle the Blocked switch to on.
- Optionally, post an update explaining the reason for the block.
- Save.
Effect: An SMS notification is sent immediately to the PM and Owner.
Clearing the blocked flag:
- Open the job detail.
- Toggle the Blocked switch to off.
- Save.
Effect: An SMS notification is sent to the PM indicating the job is unblocked.
Blocked does not change job status
Setting the blocked flag does not move the job to a different status. It is an overlay indicator — the job remains at its current status (e.g., In Progress) while blocked.
Use blocked + update together
When marking a job as blocked, post an update at the same time to document the reason. This gives the PM and Owner full context when they receive the SMS notification.
Job Cancellation¶
Available to: Owner only
An Owner can cancel a job from Ready to Start or In Progress status.
- Open the job.
- Click Cancel Job.
- Confirm the cancellation.
Effect: The job is soft-deleted (remains in the database, visible in historical views). An SMS notification is sent to the PM and Supervisor.
Cancellation cannot be undone
There is no "uncancel" action. If a job needs to be restarted after cancellation, a new bid must be created.
